The BOX OFFICE MANAGER (BOXMgr) for the 2008 AFI DALLAS International Film Festival manages the overall infrastructure, ticketing system, and staff needed to successfully fill our screening venues with large audiences. The BOXMgr is the primary contact for all third party ticketing systems for the duration of the Festival, including Ticket Master, the festival ticketing system used at all four box offices, and other Community Partners and their separate ticket sales. The BOXMgr will work closely with the Registration Coordinator and the Assistant Box Office Manager to effectively staff, train, and supervise a staff of hourly employees and volunteers for the three weeks leading up to the Festival and throughout the Festival. The BOXMgr works closely with the Programming, Theatre, Production, and Special Events Departments as the films of the program are locked and the screenings and events of the Festival are realized.
JOB DUTIES, RESPONSIBILITIES, AND FUNCTIONS
* Plan, coordinate, and execute all logistical aspects of the AFI DALLAS Main Box Office located in Victory Park and satellite Box Offices at three screening venues across Dallas.
* Work closely with the AFI DALLAS Production Dept to coordinate all technical aspects of Box Office set-up. A full understanding of all aspects of each of the four box office locations, their footprint at each location, the hardwired connectivity and hardware environmentals associated with each is critical.
* Work with our third party ticketing vendors on all necessary matters, ordering ticket stock (once approved by Sponsorship, Marketing and the Director of Operations), ordering pass stock if applicable, coordinating ticket printer retrieval, working with Production to ensure proper internet connectivity, phone line and fax line set-up, etc.
* Create a system to capture all online and walk-up ticket and pass purchaser information, such as general contact information and basic demographic data, in order to provide a complete report at the conclusion of the Festival
* Oversee the entire registration and pass distribution process and work closely with the Registration Coordinator, who will be the main liaison for Board of Directors contacts, Sponsorship and Marking contacts, and other special guests of AFI DALLAS.
* Working with the Marketing and third party ticket stock companies to produce the 2008 ticket voucher. Marketing will provide the approved voucher design and it will be the Box Office manager’s responsibly to execute the rest of the voucher production and distribution.
* Work closely with AFI DALLAS staff, Community Partners, Media Sponsors, and other promotional groups to distribute vouchers in an efficient and timely manner.
* Work closely with Guest Services in issuing tickets to various screenings. Prior to the festival, attend planning meetings and walk-throughs.
* During the Festival work with the Guest Services Manager fulfilling the requests and overall seat requests for all filmmakers and other special guests
* During the Festival work with the Volunteer Director addressing additional staffing needs for Festival Box Office sites, pass production, or other necessary duties.
* Hire, train, and supervise the Assistant Box Office Manager and all Box Office Operators. Set up interviews with all applicants and invite with the Operations Manager. All applicants are subject to the approval of the Director of Operations and Managing Director before they are hired.
* Oversee Rush ticket sales policy for all screenings. Coordinate with Theatre Managers, Assistant Box Office Manager, and Box Office Operators and remain in constant communication prior to screening start.
* Manage all Box Office accounting in conjunction with the Office Manager. During the Festival coordinate a daily drop off of the previous day’s cash, check and credit card sales and any other movement of assets throughout the entire Festival.
* Once tickets go on sale, provide daily ticket and pass sales reports via email to Managing Director, Director of Programming, Director of Operations, and Operations Manager daily including a basic comparison to 2007.
* Maintain normal AFI DALLAS office work hours pre- and post- Festival and prepare detailed Final Report of Box Office operations at the conclusion of the 2008 AFI DALLAS.
* At conclusion of the Festival, work with Operations Manager on settling all accounting using reports from all third party ticketing systems and reports from daily cash/checks collection
* Provide a comprehensive wrap report, including all job specific reports and files, and turn in to the Director of Operations during your exit interview, which will take place a few days before employment is complete.

* Previous experience in ticketing and box office environment required.

* Ability to interact and communicate with high-profile individuals professionally is required.
* Ability to think and act quickly under pressure, work within tight deadlines and be multi-task oriented while adhering to the AFI DALLAS policies required.
* Valid driver’s license, automobile insurance, and successful completion of DMV background check required.
